More About Charts

This module will cover the topics in the bulleted list below relating to Charts. Complete each of the activities by following the steps enumerated in the yellow box. Some of the activities will be accompanied by demos to help you "see" the steps being performed before trying them yourself. At the end of this module, you will be given an assignment which you should complete and email as an attachment to cgeorge@wresa.org .

Activity 1Creating a Chart

Download the Excel workbook entitled "8lesson".  Right Click on the link and select Save Target As... from the popup menu. When asked, save the document to your desktop. Open the document

1.      Click on the worksheet tab labeled "ABC 1994 Fiscal Year" if necessary

2.      Select cells D5:F10

3.      Click on the Chart Wizard button on the standard toolbar.  Use the default selections on steps 1-4 of the wizard, clicking on "Next" until you reach the screen with the "Finish" button.

4.      The chart representing the selected range of cells is inserted on your worksheet.

5.      Click and hold on the chart, then drag it down until you can see the entire table on the worksheet.

6       Save your document as "Charts". This completed document will be sent as your assignment for this module.

Adding Data to a Chart by Copying and Pasting

  1. Select the cells that contain the data you want to add to the chart.

If you want the column or row label for the new data to appear in the chart, include the cell that contains the label in the selection.

  1. Click Copy.
  2. Click the chart.
  3. To have Microsoft Excel automatically paste the data in the chart, click Paste.

To specify how you want to plot the data in the chart, click Paste Special on the Edit menu, and then select the options you want.

For Help on an option, click the question mark and then click the option.

On the worksheet, select cells G5:G10.  Click the "Copy" button on the standard toolbar.  Select the chart area, and then click the "Paste” button on the standard toolbar.  Excel adds the data from the table to the chart, creating another data series in a column.

To select multiple cells, click and hold on cell G5, then drag through cell G10.

The selected data is added to the chart as a new data series (represented by the yellow bars).

  1. Select the cells that contain the data you want to add to the chart (H5:H10). The cells must be next to each other on the worksheet.

If you want the column or row label for the new data to appear in the chart, include the cell that contains the label in the selection.

  1. Point to the border of the selection.
  1. Drag the selection to the embedded chart you want to update.

If Microsoft Excel needs more information to plot the data, the Paste Special dialog box appears.

For Help on an option, click the question mark and then click the option.

Note   If you cannot drag the selection, make sure that the Allow cell drag and drop check box is selected. To check this setting, click Options on the Tools menu, and then click the Edit tab.

On the worksheet, select cells H5:H10.  Point to the border of the selection, click and hold, and then drag your cursor into the chart area.  Excel adds the data series to your chart.

The new data is added to the chart (green bar).

1. Click on the data series you wish to delete (the green column within the chart).  Press the delete key on your keyboard.  The chart data remains in the worksheet.

1. Click on the worksheet tab labeled ABC Sales History.  

2. Select cells C7:D15 and use the chart wizard to create a chart for the data.  Use all the default options in the chart wizard.  Your screen should look similar to the one on the left below.

3. Click on the data series (represented by the purple bars) on the chart, and then click and hold on the 2nd Column to select just that data point.  Black selection handles are displayed on just that column.  Point to the top of the column and your pointer changes to a sizing arrow.  Drag the data point up or down.  The worksheet data will be updated to reflect the change.

About Formatting a Chart
Activity 6About Formatting a Chart

1.To format chart elements, you first have to select the element.  Format your chart any way you wish. The directions below are from Excel's Help menu.

To select a chart item by using the mouse, do one of two things:

1.      Click the chart item you want. Data series, data labels, and the legend have individual elements that can be selected after you select the group. For example, to select a single data marker in a data series, click the data series, and then click the data marker. Microsoft Excel displays the name of a chart item in a tip when you rest the pointer over the item if you have the Show names check box selected (Tools menu, Options command, Chart tab).

2.      Click the chart, click the arrow next to the Chart Objects box on the Chart toolbar, and then click the item you want.

(To select a chart item by using the keyboard, use the arrow keys. To cancel a selection, press ESC.)

Number formats, axis scale, and
tick marks

You can specify the range of values
displayed on the value axis and change
the interval between values along the
axis .Instead of starting at 0 (zero), the
chart in this example displays the range
of values $25 to $275.You can also
specify whether an axis has tick marks.
You can format numbers in a chart as
you would numbers on a worksheet. To
apply the most common number
formats, click the axis or data label label that
has the number you want to format, and
then apply currency, percent, or comma
style formatting by clicking the buttons
on the Formatting toolbar:

Colors, textures, and gradient
Special lines, bars, data markers, and other
options are available for different chart types.
For example, you can get a layered effect for
column and bar charts by changing the
overlap property for data series.
The line chart in the main example has a
shadow behind each diamond-shaped
marker and uses a smoothed line.

Lines connect the data series in this stacked bar chart.



To set special formatting for a data series,
click the data series, click Data Series on
the Format menu, and then select the
options you want on the Patterns and
Options tabs

Fonts and rotated texts

You can format text in a chart as you would any
other text. Click on the text or item, and then change
the font, size, and color by clicking the buttons on the 
Formatting toolbar


Special options for each chart type

You can apply colors, borders, and fill
effects to data markers, the chart area.
the plot area, and other chart items.
To apply a fill effect, such as
a texture or a picture, click a chart
item, click the arrow next to Fill
Color, and then click Fill Effects.
Next, select the options you want
on the Gradient, Texture,
Pattern, and Picture tabs
